Easy PDF Invoice ("we", "our", "us") is a Shopify application developed by ANF Studio. This Privacy Policy explains how we collect, use, and protect information when you use our app.
2. Information We Collect
When you install and use Easy PDF Invoice, we access the following data from your Shopify store:
- Store Information: Store name, domain, email, address, and currency — used to populate invoice templates.
- Order Data: Order details including customer name, email, shipping/billing addresses, line items, pricing, tax, and shipping — used to generate invoices.
- Customer Data: Customer names, email addresses, and phone numbers — displayed on invoices and used for email delivery.
- Product Data: Product titles, variants, and prices — used in product search for quotes and pro forma invoices.
3. How We Use Your Data
- Generate PDF invoices, credit notes, pro forma invoices, and quotes
- Render invoice templates with your company branding
- Send invoice emails to customers (when enabled)
- Display order information within the app interface
- Generate reports and analytics about your invoice usage
- Store company profile settings (logo, signature, address, bank details)
4. Data Storage
We store the following data in our database (MongoDB):
- Your company profile settings, template preferences, and app configuration
- Invoice records (order reference, customer name, amounts) for usage tracking
- Custom customer records you create manually
- Pro forma invoices, credit notes, and quotes you create
- Subscription and usage data for billing purposes
- Support tickets and feedback you submit
Logo and signature images are stored on Cloudinary (cloud image hosting). Order data from Shopify is accessed in real-time via the Shopify API and is NOT stored in our database.
5. Data Sharing
We do NOT sell, rent, or share your data with third parties. Your data is only shared with:
- Cloudinary: For storing uploaded images (logo, signature)
- SMTP Provider: For sending invoice emails (using your configured SMTP or our default)
- Shopify: For authenticating and accessing store data via their API
6. Data Retention
We retain your data for as long as the app is installed on your store. When you uninstall the app, Shopify sends us a notification and we delete all stored data for your shop within 48 hours, including:
- Company settings and template preferences
- Invoice records and usage data
- Custom customers, quotes, credit notes, and pro forma invoices
- Subscription and billing data
- Uploaded images from Cloudinary
7. GDPR Compliance
We comply with GDPR and Shopify's mandatory privacy webhooks:
- Customer Data Request: We respond to requests for customer data
- Customer Data Erasure: We delete customer-related data upon request
- Shop Data Erasure: We delete all shop data upon app uninstallation
8. Security
We implement industry-standard security measures including:
- All data transmitted over HTTPS/TLS encryption
- Shopify OAuth 2.0 for authentication
- App proxy signature verification for public endpoints
- MongoDB Atlas with encryption at rest
- Environment variables for all secrets and API keys
9. Your Rights
You have the right to:
- Access the data we store about your shop
- Request correction of inaccurate data
- Request deletion of your data (uninstalling the app triggers automatic deletion)
- Export your data
